TWO-TONE builds and operates AI front-desk systems for local service businesses. This policy explains what personal information we collect, why, and what we do with it. It covers this website and the services we provide to our clients.
Who we are
TWO-TONE, contactable at [email protected]. If you need something removed or corrected, that address reaches a person.
Information we collect
- When you book a call with us: your name, email address, phone number if you provide one, and anything you type into the booking form.
- When you call or text one of our numbers: your phone number, the time and duration of the call, and a recording or transcript of the conversation where one is made.
- When you email us: your email address and the contents of your message.
- When you visit this site: standard web request data — IP address, browser type, pages viewed — collected by our hosting provider.
We do not buy contact lists, and we do not sell, rent or trade your information to anyone.
SMS and messaging
If you give us your phone number — by booking a call, filling in a form, or calling one of our numbers — we may send you text messages relating to that appointment or enquiry: confirmations, reminders, reschedules, and replies to messages you send us.
Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out at any time, or HELP for assistance. Opting out of texts does not affect your ability to contact us by phone or email.
We do not send marketing texts to people who have not asked to hear from us, and we never share or sell mobile opt-in data with third parties for their own marketing.
How we use information
- To answer your enquiry, schedule and confirm appointments, and provide the service you asked for.
- To operate and improve the systems we build — including reviewing call transcripts to correct mistakes the AI makes.
- To meet legal, tax and carrier-compliance obligations.
Information belonging to our clients' customers
When we build a system for a business, that business remains the owner of its own customer data. We process it on their instructions, under our agreement with them, in order to run the system. We do not use one client's data for another client, and we do not use it for our own marketing.
If you are a customer of a business that uses TWO-TONE and want your information removed, contact that business directly — they control it. You can also write to us and we will pass the request on.
Who we share information with
We use third-party providers to deliver the service, and they receive only what they need to do their job:
- GoHighLevel — the platform the systems run on (CRM, calendars, messaging).
- Telecommunications carriers — to place calls and deliver text messages.
- Cal.com — appointment booking.
- Cloudflare — website hosting and security.
- Google Workspace — email.
We may also disclose information where the law requires it.
How long we keep it
For as long as needed to provide the service and to meet our legal obligations, and no longer than that without a reason. Records tied to a client engagement are retained for the life of that engagement plus the period our accountants and the tax authorities require.
Your rights
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Write to [email protected] and we will respond. If you are a California resident, you have specific rights under the CCPA including the right to know, delete, and opt out of sale — we do not sell personal information.
Security
We use reputable providers and limit access to client data to the people who need it. No system is perfectly secure, and we will tell you promptly if something happens that affects your information.
Changes
If we change this policy we will update the date at the top. Material changes affecting existing clients will be communicated directly.
